Loopbuy Privacy Policy

Effective 16 October 2026. Covers the Loopbuy web dashboard, the Loopbuy Manager app and Mira, the AI assistant that answers calls and messages for businesses that use Loopbuy.

Who this is for

Loopbuy is used by restaurants and auto repair shops ("businesses") and their staff. Their customers reach Mira by phone, text or web chat. Each business can see only its own information.

What we collect

• Business accounts: owner and staff names, email addresses, phone numbers, a hashed password and an optional hashed staff PIN, the business name and its settings.
• Customer conversations: when a customer calls, texts or chats with a business, we keep the phone number, what was said (transcripts), and, where the business turns recording on, the call recording.
• Orders and appointments: items ordered, totals and payment status for restaurants; name, phone, vehicle details, the problem described, appointments, estimates and approvals for auto shops.
• App diagnostics: the Loopbuy Manager app sends no analytics or advertising data. Our servers keep standard request logs to keep the service secure and working.

We do not collect location, contacts, photos or payment card numbers in the app.

How we use it

• To run the service: answer calls, take orders, book and remind appointments, and show businesses their data.
• To sign people in and keep accounts secure.
• To send messages a customer agreed to (order and appointment texts, reminders). Replying STOP opts out.
• To support businesses when they ask for help.

We do not sell personal information and do not use it for advertising.

Text messages (SMS)

When a customer gives a business their phone number for an order or an appointment, they agree to receive text messages about it, such as confirmations, reminders and "your car is ready" updates. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

Mobile phone numbers and SMS opt-in consent are never shared with third parties or affiliates for marketing or promotional purposes.

Who helps us run Loopbuy

• Amazon Web Services: hosting and storage in the United States.
• Twilio: phone calls, speech recognition and text messages.
• OpenAI and Anthropic: language models that let Mira understand and answer customers.
• ElevenLabs: voice for Mira, where a business turns it on.
• Stripe, Square and Clover: payments and point-of-sale, only for businesses that connect them.
• Email delivery providers for sign-in and password-reset messages.

These companies process data only to provide their service to us.

How long we keep it

We keep business data while the account is active. Businesses can delete customer records at any time. When an account is deleted we remove its personal data within 30 days, except what the law requires us to keep.

Your choices

• Business owners and staff can ask us to delete their account: see Delete your account.
• Customers of a business can ask that business, or us, to delete their information. Auto shop customers can also text DELETE to the shop's number.
• You can ask us for a copy of your data or to correct it.

Children

Loopbuy is a business tool and is not meant for children under 13.

Security

Data is encrypted in transit. Passwords and PINs are stored only as hashes. The app keeps its sign-in token in the phone's secure storage (iOS Keychain, Android Keystore).
